When you need it

Use this one for the fuller Punjab, Chandigarh and Haryana version of this request, including help when you don't know the registration number or are requesting a copy of a power of attorney over your own property that you never signed; use the shorter Certified Copy of a Registered Deed instead if you already have the exact registration particulars and just want a plain request letter. Get a Sub-Registrar's copy of a registered deed — sale, gift, lease, mortgage, POA or will — when the original is lost, bank-held, or you want the earlier title chain.

Covers section 57(4) too: a POA over YOUR property entitles you to a copy though you never signed it — plus a search if you don't know the registration number.

What follows is the position for this kind of document. The amount is set by the state the property is in and it changes, so the figure for your own state is worth confirming at the sub-registrar’s office before you pay anything.

Stamp duty

No stamp duty on the application itself — not an instrument, since it creates no right; plain paper. Some counters want a small court-fee stamp (local practice — UP/Haryana more often than Delhi/Maharashtra/Karnataka; ask first, and an online application never needs one). The COPY itself is technically chargeable under Article 24, Schedule I, Stamp Act, 1899 — but exempted, since section 57 expressly requires the officer to furnish it; you pay only the search/copying fee under the state's Table of Fees, not stamp duty (a few states have amended this locally — check if a counter insists otherwise). A representative's letter of authority may count as a power of attorney (s.2(21)) — most counters take a plain signed letter, some want small stamp paper (Rs 10-100) or notarisation. If you're filing an affidavit about a lost original, THAT is chargeable — Rs 10-100 non-judicial stamp paper, e-stampable — verify the current state figure before buying.

Registration

Not registrable — section 17, Registration Act, 1908 doesn't reach a request to an officer. This is a section 57 application, fees under the state's Table of Fees, filed where the register book actually sits (or the state portal) — insist on an acknowledgment/token number and a fee receipt. If the deed was never actually registered, no certified copy exists to issue.

Notarisation

Not required for the application — signed, not sworn. Two side doors: a lost-original affidavit — sworn before a notary or oath commissioner; and a representative's letter of authority — usually plain, sometimes notarised, or a registered POA if they do more than fetch a copy. It won't grant access to a Book No. 3/4 document you're not entitled to.

Witnesses

None — not a contract, no attestation required; don't add witness lines. Both applicants sign if filing jointly. A representative signs only the specimen-signature line in the authority, never the application itself — that's forgery, and offices check signatures against ID. A lost-original affidavit is sworn (a jurat), not witnessed.

APPLICATION FOR A CERTIFIED COPY OF A REGISTERED DOCUMENT

Nakal / certified true copy, applied for under section 57 of the Registration Act, 1908

Before you print this. Some counters want a court-fee stamp affixed on the first page of an application. Leave the top right corner of this page clear so the clerk can put one there. The Annexure at the end explains the fee, how long it takes and what you get back.
